Describe the product and the information you already have. Use the conversation to explain your requirements and identify the details that need attention. Before committing to an order, confirm the proposed scope, samples, quotation and timing with the manufacturing partner.

There is no single number for every garment. Ask the supplier to propose stages based on design complexity, available patterns and material readiness. Include time for review and revisions in your schedule.

Fit approval addresses the shape and measurements reviewed at that stage. Production approval needs a clear statement of the complete reference and any remaining exceptions. If fabric, trims or finishing are provisional, identify the further review needed before bulk production.

Use one consolidated document with a sample identifier and numbered comments. Connect each issue to a measurement, drawing or photograph. Separate corrections from new design requests and ask the manufacturer to acknowledge the changes intended for the next sample.

Retain the approved reference, dated technical files and the final feedback record. Identify any exceptions and how they will be resolved. Ensure everyone involved can distinguish that reference from earlier samples and superseded specifications.
